Office Administrator (Saigon)

We are looking for an enthusiastic and organized Office Administrator to help streamline processes in an international startup environment.


Responsibilities:

Assist the team with daily administrative duties and complete a broad variety of tasks that include:

  • Managing appointments and making related reservations or bookings
  • Setting up a system to maintain and organize office paperwork
  • Tracking expenses and monitoring invoices
  • Purchasing equipment and keeping an inventory of items
  • Arranging travel plans, itineraries and agendas
  • Organize company events and team building activities, e.g. make reservations and orders for weekly team lunch, office party
  • Co-ordinating with international and Vietnamese vendors (e.g. office rental, bank, cleaners, delivery personnel)
  • Preparing for meetings, including setting up the room, buying drinks and snacks for guests
  • Compiling documents and taking notes for meetings in English
  • Write step-by-step articles about procedures in English
  • Communicate information between offices in Ho Chi Minh and Lima, Peru
  • Update information on our website and social media
  • Other duties, as assigned, to help the office run smoothly


Requirements / Skills:

  • Good written and verbal English and Vietnamese
  • Excellent communication and interpersonal skills
  • Meticulous and detailed oriented, good at keeping things organized
  • Tech savvy and familiar with standard word processing, spreadsheets tools (including Google suite)


Ideally:

  • 1-3 years personal assistant or admin experience
  • Experience in a tech start-up environment
  • Have an investment mentality, and want to build for the long term
